Job Description

Reporting to the Human Resources Recruiter, this position provides the dual purpose of Receptionist for the purposes of greeting external clients and customers; office coordination for general office services, recruiting assistance, and support for special projects under the direction of EA’s Executives.
 
ESSENTIAL JOB FUNCTIONS
This position is responsible for the following functions:  (other duties may be assigned at the manager’s discretion)

Reception Desk (25%)
    •    Professionally answer all incoming calls and ensures that phone calls are redirected accordingly.  Maintains front desk voicemail system by listening to and responding to messages daily.  Forward messages as appropriate and within specified time frames.
    •    Greets all guests in a professional, friendly, hospitable manner.
    •    Uses organizational procedures to manage the company security systems for employees and visitors.
 
Sales Team Support (15%)
    •    Assists Sales Team with meeting support for client meetings with room management, catering, visitor support, etc.
    •    Support external sales team members by providing mail, internal communications, etc.
 
Office Coordination (25%)
    •    Oversees purchase of all office supplies and pantry supplies to maintain appropriate levels.   Manages office supply and kitchen supply inventories and makes sure supplies arrive timely.
    •    Establishes effective working relationships with building management and office vendors to coordinate office and facility services.  
    •    Establishes themselves as the “go to" person for employee needs related the office, kitchen, recycling, safety, etc. 
    •    Communicates with staff to inform them of changes/updates within the office.
 
Recruiting Assistance (35%)
    •    Assists recruiter with job posting, scheduling interviews, coordinating interviewers, and making sure all candidates complete the application.
    •    Assists organization with new employee orientation set-up and coordination.



Job Requirements

    •    2 years of full time work experience as a receptionist or administrative assistant in a professional services company.
    •    1 year of experience providing support to executive level management preferred.
    •    2 years of customer service experience with external clients and customers
    •    1 year of recruiting assistance experience preferred
 
Education
    •    High School Diploma or GED
 
Knowledge/Skills
    •    Work requires thorough knowledge of administrative procedures and practices.
    •    Intermediate level of proficiency with PowerPoint, Excel, Word, and database applications.
    •    Must frequently lift and/or move up to 10 lbs and occasionally lift and/or move up to 50 lbs.
    •    Excellent communication and Interpersonal Skills (written and oral),  speaks clearly and persuasively in positive or negative situations, edits work for spelling and grammar, presents numerical data effectively and is able to read and interpret written information.
